Tropical Explorers Sociedad de Responsabilidad Limitada, corporate ID (cédula jurídica) 3-102-760251, with registered address 100 metres east of the school, Sardinal, Carrillo, Guanacaste, Playa Hermosa, 50503, Costa Rica ("Tropical Explorers", "we", "us"), is responsible for the personal data described in this policy.

This policy explains what we collect, why, how we protect it and what rights you have. It is governed by Costa Rican Law No. 8968 on the Protection of Persons Regarding the Processing of their Personal Data and its regulations.

1. Information we collect

Information you give us

When you request availability, book an experience or contact us, we collect:

  • Full name of the lead guest and the number of adults and children in your party

  • Email address and telephone or WhatsApp number

  • Hotel, villa, resort or pickup beach

  • Requested date and preferred start time

  • Payment details necessary to process your deposit and balance

  • Allergies, dietary restrictions and relevant medical conditions

Health information. Allergies, dietary restrictions and medical conditions are treated as sensitive personal data under Costa Rican law. We request this information solely so that our chef and crew can prepare food safely and respond appropriately on board. It is shared only with the crew members who need it for that purpose, and it is never used for marketing, sold or transferred to third parties. Providing it is voluntary, but withholding it may prevent us from operating safely, and in that case we may be unable to accommodate certain requests.

Information collected automatically

When you visit our website we use Google Analytics, which collects standard technical data such as IP address,browser type, device, pages viewed and time spent. This information is used in aggregate to understand how our site is used. You can opt out using Google's browser add-on at tools.google.com/dlpage/gaoptout.

2. Why we use your information

3. Who we share it with

We do not sell your personal data. We share it only where necessary:

  • Bókun, our booking and reservation platform, which processes bookings and payments on our behalf.

  • Our crew, limited to the operational information needed for your experience.

  • Travel partners, where your booking was made through a hotel, villa manager, travel advisor or agency, limited to what is required to coordinate your experience.

  • Costa Rican authorities, where required by law


4. How long we keep it

Booking and billing records are retained for five years, in line with Costa Rican tax and accounting requirements. Enquiries that do not result in a booking are retained for up to two years. Health information provided for a specific experience is retained only for as long as needed to operate that experience and to meet our legal obligations.

5. Your rights

Under Costa Rican Law No. 8968 you have the right to access the personal data we hold about you, to have inaccurate data corrected, to request deletion where we are not legally required to retain it, to withdraw consent for uses that depend on it, and to object to specific processing.

To exercise any of these rights, write to team@tropicalexplorerscostarica.com. We will respond within five business days. If you are not satisfied with our response, you may file a complaint with the Agencia de Protección de Datos de los Habitantes (PRODHAB) in Costa Rica.

6. Security

We limit access to personal data to the people who need it to do their work, use password-protected accounts and reputable service providers, and do not store full payment card details on our own systems. No system is completely secure, and we cannot guarantee absolute security, but we take reasonable measures to protect your information.

7. International guests

Our guests come from many countries. Where you are protected by data protection laws in your own jurisdiction, such as the GDPR in Europe or the CCPA in California, we will honour requests made under those laws to the extent they apply. Your data is stored and processed in Costa Rica and on the servers of the service providers listed above.

8. Children

Our website is not directed at children. We collect information about minors only as part of a booking made by a parent or guardian, and only what is needed to operate the experience safely

9. Marketing

We do not currently send marketing emails. If we begin to do so, we will only contact guests who have given consent, and every message will include an unsubscribe link.

10. Changes to this policy

We may update this policy from time to time. The date at the top reflects the most recent version. Material changes will be posted on this page.
